How to see and categorize view columns by their properties

Let's say you have a database with many view columns and you want to make sure that the column properties are all set a certain way.

Unfortunately, you'd have no choice but to open the view, examine each (and every) column within it, and then verify/update the column properties—and then do it all over again for other views. It's an time-consuming process, but there's currently no quick and easy way around it if you're using the native Domino Designer tools.

Take the Click on column header to sort (sometimes known as column "re-sorting") property for example. For each 'Click on column header to sort' option that is added to the view, Lotus Notes will create an additional index for it.

Now you can see how the number of 'Click on column header to sort' options available has a multiplying effect on the size of a Lotus Notes view index (and make it run much slower).

In this tip, you will see how you can use viewEZ to see your column properties for easy analysis in a matter of seconds.

First make sure viewEZ is running. If it's not, select any Lotus Notes database (email, personal address book, application etc.) on your workspace, and click the viewEZ icon on your Lotus Notes client toolbar.

  1. In the first viewEZ window, select the views or folders you want to look at using the checkboxes.
  2. Click the Columns... button and a window opens with all the view columns displayed in a table.
  3. Select the third tab: Column by Properties.
  4. In the right-click menu go to: Grid Columns > Tab2: Resort - type (which actually refers to the 'Click on column header to sort' property). You can select any number of column properties here that you want to look at.
  5. Click and drag the Tab2: Resort - type column header to the top—this will group and organize the data into categories. You can sort information in the grid by clicking the column header. You may also apply specific filters by clicking the filter icon and choosing a filter setting.

  6. Easily see which columns have the 'Click on column header to sort' property View columns categorized by their properties
  7. [Optional] From here, you can directly select multiple columns and modify/update any column properties. To do this, in the right-click menu go to: Notes Column Properties and update the properties you want to change.

Congratulations! You are now finished displaying view columns in a Lotus Notes database by their properties. Once you can see how the 'Click on column header to sort' properties are set, you can easily remove them—and when removed it will result in a smaller (and faster) Lotus Notes database application.
